Welcoming With Heart: How Resident Ambassadors Transform the Move-In Experience

Category: Senior Living

Author: Kelela Kiyono, Resident Services Director

Moving into a senior living community is a major life transition. There is often excitement about new opportunities and friendships. There can also be uncertainty as residents adjust to a new home and routine.

One of the most valuable resources we have during that transition is our Resident Ambassador program. Resident Ambassadors help create connections and offer encouragement. They also provide peer-to-peer support that can make a new resident feel welcome from day one.

Their willingness to reach out matters. They share their experiences and invite others into community life. In doing so, they help turn neighbors into friends and a community into home.

As Resident Services Director at The Madison Senior Living, I have seen firsthand the difference these resident leaders make. They help new residents feel comfortable, connected, and engaged.

Starting the Welcome at Lease Signing

A successful move-in experience begins before the moving boxes arrive. At The Madison Senior Living, that welcome starts at lease signing. During that appointment, the Resident Services Director helps with details that support a smooth transition.

Each detail matters. That includes key fobs, mailbox keys, dining questions, daily routines, and community life. These early touchpoints help new residents and families feel supported. They also give them a clear place to turn when questions come up.

Resident Ambassadors become part of the welcome early in the process. Ambassador meetings help them learn about new neighbors before lease signing. Often, the ambassador who lives closest to the new resident is invited to meet them. From there, the ambassador can help the new neighbor learn the community. That may include dining, events, and everyday routines.

Finding Connection Through Shared Experience

Some of the most meaningful welcomes are simple and personal. Resident Ambassadors may sign a greeting card and leave it at a new resident’s door. They may also introduce themselves in the restaurant. Sometimes, they join in when the Resident Services Director introduces a new resident to the room. A simple introduction can open the door to conversation, kindness, and connection.

One meaningful example involved a woman navigating a difficult family transition. Her spouse was living with dementia. After she moved in, the ambassador on her floor introduced herself. The two neighbors soon realized they lived right across the hall.

Two senior residents at The Madison Senior Living smile brightly beside a bouquet of flowers.

Over time, a sweet routine formed. The new resident’s dog began visiting the ambassador’s apartment some evenings. The dog would watch television, jump on the couch, and nap. Later, she returned home when her owner came to get her.

Moments like that show how friendship can grow in unexpected ways. A neighborly introduction became comfort, routine, and companionship during a time of change.

Residents often respond quickly to other residents because they can relate to one another. A new resident may look to a peer for guidance, understanding, and friendship. They may ask, “What would you do?” or “How did you get through this change?” When support comes from someone who has been in their shoes, it can feel especially meaningful.

Resident Ambassadors shape the culture of the community in many ways. They bring different backgrounds, personalities, and interests into the welcome experience. Some ambassadors are outgoing and funny. Others are more reserved and steady. Those differences matter because each new resident is unique, too. Thoughtful connections help create encouragement, welcome, and connection throughout the community.

Resident Ambassadors do far more than welcome new residents. They help build the culture of our community. Through kindness, friendship, and a willingness to include others, they create an environment where people feel seen, valued, and connected.

The move-in process may only last a few days. The relationships formed during that time can have a lasting impact. We are grateful for the Resident Ambassadors who help make our community a place where every resident feels like they belong.
